Automatic label purchase (Picking mode + Auto-buy labels)

Let PDQ buy the shipping label automatically once an order's items are picked and packed

PDQ can automate label purchasing: turn on Picking mode so your team marks items as picked as they pack, and turn on Auto-buy labels so the label is purchased automatically the moment an order is fully picked and packed - no manual "buy label" step. Picking and auto-buy work on both the Assign/Verify and Fulfil screens.

Where to set it up: Settings → Account.

The settings involved

On the Account tab, toggle on:

  • Picking in Verify & Assign - adds a "picked" action so items can be marked as picked on the Verify and Assign screens.

  • Picking in Fulfil - on the Fulfil screen, marks items as picked (instead of directly fulfilled), so the Fulfil flow becomes pick → pack → label.

  • Auto-buy labels - "Automatically purchase a label once all items are picked and packed." This is the automation itself.

Related Fulfil-screen settings (same Account tab):

  • Fulfil all in batch - adds a "Fulfil all" option when processing a batch, so you can complete every order in a batch at once.

  • Archive time in Fulfil - the number of days before batches move to history (out of the active Fulfil screen).

Enable a Picking mode together with Auto-buy labels - the auto-purchase is triggered by items being marked picked/packed, so Picking mode is what drives it.

How it works on the Fulfil screen

With Picking in Fulfil on, the packing flow is:

  1. In the Scan Order field, enter (or scan) the order number to pull it up.

  2. Confirm the item quantities as you pick, then click Pick all items once the order is fully picked.

  3. Print / buy the label for the picked order. With Auto-buy labels on, the label is purchased automatically once the order is fully picked and packed - pickers just print it.

  4. Use Fulfil all (if enabled) to process the rest of the batch efficiently.

  5. After fulfilment, the batch stays on the Fulfil screen until it hits your Archive time in Fulfil, then moves to history.

How it works on Assign/Verify

  1. With Picking mode on, open an order on Assign - the search/scan bar opens automatically and the order pop-up mirrors the Fulfil screen, so the same picking actions are available earlier in the flow.

  2. Scan the order and confirm quantities as you pick.

  3. The label is bought against the order's selected delivery service (you can change the service manually before purchase).

  4. Once the whole order is picked, with Auto-buy labels on, the label is purchased automatically.



Good to know

  • Auto-buy triggers on "fully picked." A partially picked order won't buy a label until every item is picked/packed.

  • Don't double up on label automation. If Auto-buy labels is on, avoid also running a Quickflow that buys/creates labels - otherwise labels can be created early or twice (auto-created labels show as purchased by automation+rules@pdq.team, which can make a scanned order look "already labelled / not found" to pickers).

  • Batches leave Fulfil on a timer. If a batch "disappears" from Fulfil, check Archive time in Fulfil - it may have moved to history.

  • You can still change the delivery service manually before the label is bought.
